Job Description

As a Financial Assistant at The Natural Adventure, you will be responsible for a variety of financial tasks to ensure accurate and timely processing of invoices and payments. Your main responsibilities will include loading customer payments and supplier invoices, identifying discrepancies, reconciling accounts, processing refunds, and updating supplier details. You will also collaborate with different teams within the company, such as the sales, operations, and products teams, to improve processes and streamline operations.

Loading customer payments

One of your primary tasks will be loading customer payments into the reservation and content management system, as well as the financial and accounting system. This involves accurately recording and processing payments received from customers.

Loading supplier invoices/proformas

You will also be responsible for loading supplier invoices and proformas into the accounting system. As part of this task, you will reconcile these invoices against the pre-loaded values in the reservation system to ensure accuracy and identify any discrepancies.

Identifying discrepancies in supplier costs/invoices

As a Financial Assistant, you will play a crucial role in identifying discrepancies in supplier costs and invoices. You will work closely with adventure specialists internally and suppliers externally to resolve any discrepancies and ensure that the correct costs and invoices are processed.

Ensuring accurate and timely processing of invoices and payments

Accuracy and timeliness are essential in processing invoices and payments. Your role will involve ensuring that all invoices are processed accurately and in a timely manner, following established procedures and guidelines.

Sending supplier remittances

You will be responsible for sending supplier remittances, providing suppliers with timely updates on payments made. This task requires good attention to detail and the ability to maintain accurate records.

Keeping track of overdue payments

As a Financial Assistant, it will be your responsibility to keep track of overdue payments by customers. You will work closely with Adventure Specialists to ensure that customer balances are collected on time and that any outstanding payments are resolved.

AP/AR reconciliations

Reconciliation of accounts payable and accounts receivable is an important part of your role. You will be responsible for conducting AP/AR reconciliations to ensure accurate records and resolve any discrepancies.

Updating supplier details

Maintaining accurate supplier details is crucial for smooth financial operations. You will be responsible for updating supplier details in the accounting and reservation systems, ensuring that all information is up to date and accurate.

Processing customer refunds

In some cases, customer refunds may be necessary. As a Financial Assistant, you will be responsible for processing these refunds accurately and in a timely manner, adhering to established procedures.

Working with sales and operations teams

Collaboration with the sales and operations teams is essential to improve and streamline processes related to payments and costs. You will work closely with these teams to identify areas for improvement and implement effective solutions.

Working with products team

The products team plays a crucial role in pre-loading tour costs and sale prices in the reservation system. As a Financial Assistant, you will work with the products team to ensure that all financial information is accurately loaded into the system.


To be successful as a Financial Assistant at The Natural Adventure, you should have previous experience in a travel company. Excellent attention to detail and administrative skills are essential for this role, as you will be handling financial data and documents. Strong numeracy skills and exceptional Excel skills are also required. The ability to multitask and meet deadlines is crucial, as well as the ability to work under pressure. You should be able to work efficiently with minimal supervision, demonstrating a friendly attitude and a high level of integrity.
